Create Scorecard with Grid View

Go to “Create Scorecard” Tab to create a new Scorecard. Search for “Create Scorecard” by clicking the button in your Salesforce.

Prerequisites

  • Assign Permission Sets
    • OKRify Scorecard Admin – Permission sets for Creating Scorecard.
    • OKRify Scorecard User – Permission sets for Scorecard users, cannot create Scorecard.
  • Create KPIs that are required for the Scorecard.
  • Setup Team (Optional)

Steps

Follow the below steps to create a scorecard for your team

1.Enter a Scorecard Name (Required)

Scorecard name will be displayed to all the users and managers in the scorecard, please enter a name that is simple and meaningful to all the users

2.Enter the timeframe for the scorecard (Required)

KPIs will be tracked based on the timeframe. Monthly, Quarterly, and Annual options are available.

3.Select Currency

Select the currency to display in the Currency fields on the Scorecard. This is only necessary if your organization uses Multi-Currency and the corporate currency will be selected as default.

4.Enter Start and End Date (Required)

Start and end date is defaulted to your organization’s current Fiscal Year and can be changed to past or future dates. Scorecard will start tracking KPIs from the start Date to the end Date and targets can be entered based on the start and end dates.

5.Description (Optional)

Enter a description for the Scorecard.

6.Enter team (Optional)

Entering one or more teams will automatically add managers and users to the respective fields in the Scorecard. Team has to be set up with managers and team members, click here for more information on setting up team and team members.

7.Enter Managers (Required)

Enter additional managers who will be managing the scorecard and need access to the leaderboard if the Enable Leaderboard option is not selected. Managers of the Scorecard can edit the Scorecard and view the Leaderboard. Managers view the overall score of the entire team(all the users) in the Scorecard view and can view details by users in the Leaderboard.

8.Enter Users (Required)

Enter additional users to the scoreboard if not added from the team. Scorecard will track KPIs for all the users in the scoreboard, if a manager is also a user please enter the manager also as an user to track numbers for the manager.

9.Enable Grid View (Required to enable Grid View)

Enabling Grid View will display two sections for KPIs: Activity KPIs and Outcome KPIs.

10.Enable User View (Optional)

Enable User View to allow users to view the Scorecard. Managers can disable User View to review and validate the Scorecard before making it visible to users.

11.Enable Leaderboard - KPIs (Optional)

Enabling this option allows users to see the same leaderboard details as managers, including KPI progress and target information for all users. Disable this if you don't want users to view others' KPI details.

12.Grid Section (Optional)

The grid’s quadrants can be customized as needed. In this section, you can modify the quadrant names, colors, scores for each quadrant, and starting values.

Setting a starting value is highly recommended if team members have higher scores, as it helps distribute the grid quadrants more effectively when scores are closely aligned. Enter the desired starting values for both Activity and Outcome scores; any user with scores below the starting value will appear at the bottom of the quadrants.

To modify the scores for each quadrant, adjust the Activity and Outcome Scores for Underachievers. This will automatically update to display the top scores for each quadrant.

Here is an example and explanation of how the quadrants will function based on the given starting values and underachiever scores.

13. Select KPIs

To add KPIs, you can either search in the KPI field in each section (Activity and Outcome) and select one, or click the 'Select KPI' button to browse and choose from the available options. As default KPIs will be added to Activity Section, click Outcome in the KPI box to add the KPI to Outcome section.

In the 'Select KPI' window, the selected KPIs will appear on the left side under the Activity and Outcome sections. You can add up to 8 KPIs to a Scorecard. Once you've selected the KPIs, click 'Add KPIs to Scorecard' to apply them and return to the Scorecard page.

Note: Select the appropriate KPIs for the activity and outcome sections to achieve optimal results and to identify your team's strengths and weaknesses.

14.Select Assigned to field (Required)

The 'Assigned to' field is used to assign records to the appropriate users for tracking KPI progress. It automatically defaults to the Owner or Assigned to field, depending on the object. If needed, you can change the 'Assigned to' field to any user fields in the KPI object.

Example: When the Opportunity Owner field is selected as the 'Assigned to' field for a KPI linked to the Opportunity Object, the Opportunities where scorecard users are the Opportunity Owners will be tracked based on the Owner field.

15.Enter Weight for the KPI (Required)

Sum of the weights of all the KPIs in each section should be equal to 100. Weights are also used to calculate the activity and outcome score for each user.

16.Enter Target for the KPI (Required)

Enter a target for each KPI. The target set applies to individual users and their specific goals.

17.Enter User Specific targets (Optional)

By clicking on the User Target icon, you can manage user specific targets for each time frame. Initially, the target value will be set to the default value for all users and time frames. However, you can customize the target value for each user as required.

Please note that once user-specific targets are set, the time frame for the scorecard cannot be modified. If you have a user specific target, make sure that the last period matches the end date of the Scorecard. If the end date of the Scorecard is changed, you'll need to add new time frames to match the end date.

18.Select Decrease to

Select this option if progress should be less than the target. For example, if the KPI is the time to complete a task and the target is less than 2 days, enter 2 as the target and click 'decrease' to flag the KPI. When calculating the score, if the user's value is less than or equal to the target, a full score will be awarded based on the KPI's weight. If the value exceeds the target, a lower score will be assigned for this KPI.

19.Save or Activate Scorecard

Once you've finished adding KPIs, you can choose to either save the Scorecard as a draft by clicking on the Save button, or activate it by clicking on the Save & Activate button.

Note:

  • All Scorecards are visible for bother users and managers in Cockpit Tab in OKRify app.
  • Only active Scorecards are visible for Users. Scorecard in draft or paused or completed status will be visible for managers
  • Managers of the scorecard can edit a Scorecard from Cockpit by clicking the edit button.
